How I use your details
What happens to the details you send me through this website, in plain English. If anything here is unclear, email me and I'll explain.
Who I am
Encompass Counselling Canterbury is run by me, Delia, a counsellor in Rough Common, Canterbury. I am responsible for your details under UK data protection law, and I am registered with the Information Commissioner's Office (ICO).

What I collect
When you book a first session through this website, I ask for:
- your name, age and email address
- a phone number, only if you choose to give one
- which kind of session you are interested in
- anything you choose to tell me about what is going on for you
Some of this can be information about your health. The law treats that with extra care, and so do I. If you email me, I receive what you write and your email address.
Why I collect it
Only so I can reply to you and arrange your first session. I never use your details for marketing, I never sell them, and I never pass them to anyone else to contact you.
When you book, the website sends a short email to the address you gave, to let you know your request arrived safely. It does not repeat anything you told me.
My legal reason
I rely on your consent, which you give by ticking the box before you send. Because what you tell me may be about your health, this is explicit consent. You can take it back at any time by emailing me, and I will delete your details.
Age
I work with people aged 16 and over. If someone younger tries to book, the booking form stops them and nothing is sent to me.
Where your details are kept
Bookings are stored on my own server, in Amazon's data centre in London. The booking system is locked and can only be opened with a passkey on an approved device. Your details are never written into the server's logs.
These companies help me run the website and my email. They act only on my instructions:
- Amazon Web Services, which runs the server in London
- Cloudflare, which protects the website from attacks. Everything sent to the website passes through Cloudflare on its way to me.
- Namecheap, which provides my email
Cloudflare and Namecheap are international companies and may handle data outside the UK, under the safeguards in their data protection terms.
How long I keep them
I keep your booking only as long as I need it to reply to you and arrange sessions. If we go on to work together, I will explain at our first session how I keep client notes. If we don't, I delete your booking. Once deleted, it can stay in my server's backups for up to 30 days before those are overwritten.
Cookies
This website has no advertising, no tracking and no analytics. Cloudflare may set a small security cookie to tell real visitors apart from automated attacks. The booking form keeps your answers in your browser until you close the tab, so a mis-tap does not lose your progress. Nothing is kept after that.
Your rights
You can ask me to:
- show you the details I hold about you
- correct anything that is wrong
- delete your details
- stop using them, or give you a copy you can take elsewhere
Just email me. There is no charge, and I will reply within one month, usually much sooner.
If you are not happy
Please tell me first and I will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
